This Privacy Policy explains what personal information I collect, why I use it and how I look after it when you use the Transform English website or services.
I take your privacy seriously and handle your personal data in line with the EU General Data Protection Regulation (GDPR) and other applicable data protection laws.
1. Who I am

Catherine Stevenson is the data controller for personal data processed by Transform English.
2. What personal data I collect and why
The information I collect depends on how you interact with Transform English.
a) Contact and enquiries
If you contact me through the website or by email, I may collect:
your name;
your email address; and
any information you include in your message.
Why I use this information: To reply to your enquiry and communicate with you. I have a legitimate interest in responding to people who contact me and, where relevant, I may also need this information to discuss or arrange a service you have asked about.
b) Mailing list and marketing emails
If you choose to join the Transform English mailing list, I collect your name and email address.
Why I use this information: To send you teaching ideas, resources, news, events, offers and other Transform English updates. I do this with your consent, which you can withdraw at any time.
You can unsubscribe using the link in every marketing email.
Joining an event or buying a Transform English service does not automatically sign you up for general marketing emails. Where marketing consent is needed, I will ask for it separately.
c) Forms, quizzes and appointment bookings
If you complete a Transform English form or quiz, or book an appointment with me, I may collect:
your name;
your email address;
your answers or responses;
appointment details; and
other information you choose to provide.
I use services including Fillout (Zite), MailerLite, Squarespace and TidyCal to provide forms, quizzes and appointment booking.
Why I use this information: To provide the quiz, resource, appointment or activity you have requested and, where relevant, respond to your answers. I may also use responses to understand how my resources are being used and improve what I offer. If you separately choose to join the mailing list, I may also use your email address for marketing with your consent.
d) Purchases and payments
If you buy a Transform English service, membership, Project or programme, I may collect or process:
your name;
your email address;
details of what you purchased;
payment status and transaction information;
subscription or membership status; and
information needed for invoices, accounting and tax purposes.
Payments are processed securely by Stripe. Transform English does not receive or store your full payment card details.
I use Aruba to process information needed for electronic invoicing and accounting.
Why I use this information: To manage your purchase, give you access to what you have bought, manage subscriptions and cancellations, contact you about your purchase, issue invoices and meet my accounting and tax obligations.
e) Community, Project and event participation
If you take part in the Transform English Community, a Transform English Project, programme or event, I may collect or process:
your name and email address;
registration or application information;
attendance and participation;
messages or contributions you choose to make;
feedback and survey responses;
written, audio or video work you choose to submit; and
communications relating to your participation.
Why I use this information: To run the Community, Project or event, communicate with you, provide activities and feedback, and improve what I offer. If you've bought a service, I use the information I need to provide it. For other activities, I use information where I have a legitimate reason to do so, or with your consent where needed.
3. Live sessions and recordings
Some Transform English Communities, Projects and events include live online sessions.
Some sessions may be recorded so that members or participants can watch them afterwards. I will let you know when a session is being recorded.
If you use your microphone or camera during a recorded session, the recording may include your name, voice, image and contributions.
Recordings for members or participants will not be made publicly available or used for marketing without appropriate permission.
Where practical, you can choose not to use your camera or microphone if you do not want to appear in a recording.
4. Use of AI tools
I may use AI tools, including services such as ChatGPT (OpenAI) and Claude (Anthropic), to support my work.
For example, I may use them to:
analyse or organise information from Transform English sessions or activities;
look at language used in participant contributions;
identify useful language-development points;
help me prepare individual or group feedback; and
summarise or organise session transcripts and feedback.
This means that extracts from session transcripts, written contributions or other participant material may sometimes be processed using an AI tool.
Where practical, I remove or minimise information that directly identifies participants before using material with AI tools. I do not intentionally provide sensitive personal information to AI tools for these purposes.
I use AI to assist my work, not to make automated decisions about participants. I remain responsible for the feedback, decisions and services provided by Transform English.
5. Service and membership emails
If you register for an event, join the Community or buy a Project or other service, I will need to contact you about it.
This might include access information, session details, reminders, materials, membership information and important changes.
These emails are part of the service you have requested or purchased. They are separate from general marketing emails.
You can choose separately whether you would also like to receive Transform English news, resources and offers.
6. Third-party services and data sharing
I use a number of third-party services to run Transform English. These services may process some of your personal information when needed to provide their service.
These currently include:
Squarespace – website hosting, website forms and website services;
Stripe – payments and subscriptions;
Aruba – electronic invoicing and accounting records;
MailerLite – mailing lists, emails and automated service emails;
Zapier – connecting services and automating administrative tasks;
Fillout (Zite) – online forms and quizzes, including the Teacher Talk quiz;
TidyCal – appointment booking;
Google services, including Gmail, Google Drive and Google Meet – email, file storage, resources and online sessions;
WhatsApp – where used for optional Community or event communication;
Meta services, such as Facebook and Instagram – where these platforms are used for Community activities or communication;
OpenAI / ChatGPT and Anthropic / Claude – where I use AI tools as described above.
I only share or process information that is reasonably needed for the relevant purpose.
I do not sell your personal information or give it to third parties for their own marketing.
Some of these providers may process information outside the European Economic Area (EEA). Where this happens, the appropriate data-protection safeguards for international transfers apply.
7. Website data and cookies
The Transform English website uses essential cookies and other technologies needed for the website to work.
Squarespace may also process technical information needed to run and secure the website, such as information about your browser, device and IP address.
I am not currently using optional advertising or tracking cookies on the Transform English website.
If I add analytics, advertising or other non-essential tracking in the future, I will update this Privacy Policy and the Transform English Cookie Policy as needed. I will also ask for consent where required.

8. Fonts
This website may use services such as Google Fonts or Adobe Fonts to display text correctly.
These services may receive technical information such as your IP address and information about your browser or device when they provide fonts to your browser.
9. How long I keep your information
I only keep personal information for as long as I reasonably need it, or for as long as I am legally required to keep it.
As a general guide:
enquiries and contact messages: normally up to one year, unless I have a reason to keep the correspondence for longer;
mailing-list information: until you unsubscribe or ask me to delete it, although I may keep a record of your unsubscribe request;
purchase, invoice and payment records: for as long as required by accounting and tax law;
Community, Project and programme information: for the duration of the service and for a reasonable period afterwards where needed for administration or records;
session recordings and participant contributions: for as long as they are reasonably needed for the purpose for which they were collected.
I may need to keep some information for longer where required by law or in connection with a legal claim.
10. Your data protection rights
Under GDPR, depending on the circumstances, you can ask me to:
give you access to the personal data I hold about you;
correct inaccurate information;
delete your information where applicable;
restrict how your information is used;
stop certain types of processing; or
provide certain information in a portable format.
You can also withdraw your consent at any time where I rely on consent to use your information. This does not affect anything I lawfully did with your information before you withdrew consent.

11. Changes to this Privacy Policy
I may update this Privacy Policy if my services change, I start using different technology or the legal requirements change.
